Payment lifecycle
SHVYA Sales stores organization-scoped invoice payment details and supports actions such as manual payment records, eligible gateway payment links, refunds, credit notes and recurring invoice configuration. Available gateway actions depend on actual provider setup and plan.
Record a manual payment
- Open the correct invoice from Sales → Documents.
- Review the outstanding balance and payment reference.
- Use the supported Record payment action.
- Enter the actual amount, date and payment method/reference.
- Confirm the invoice ledger reflects the intended state.
Gateway payments
Before sharing a checkout/payment link, verify its gateway configuration and association with the right invoice. Payment-link creation is not proof of successful payment. Inspect an authorized provider completion record before marking an external charge as paid.
Credit and refund actions
Use the built-in refund or credit note action only for the correct original payment/invoice. Review partial amounts carefully. Do not issue a second refund while the provider's previous attempt is uncertain.
Recurring invoices and schedules
Configure only approved repeating cycles and keep the customer's terms, billing start/stop date and time zone consistent. An asynchronously scheduled invoice or delivery should be checked after execution.
Troubleshooting
Confirm the invoice ID, status, balance, payment record, gateway result, retry state and related CRM lead. Escalate an ambiguous financial outcome rather than duplicating a charge.
