CRM Comparisons

CRM for Training Institutes: Compare Zoho, TeleCRM and SHVYA

Choose an admissions CRM around course fit, counselling and the next promised action—not just the number of enquiries it stores.

“Please share the fees” is the beginning of an admissions conversation, not a complete requirement. The learner may also need an evening batch, a prerequisite explained or reassurance about the course format. A CRM for training institutes should help counsellors continue that conversation accurately.

Zoho, TeleCRM and SHVYA are useful candidates to evaluate against a defined admissions workflow. This guide provides a decision framework; it is not a claim that one product replaces every institute’s existing systems.

Separate admissions from course delivery

Write down what you expect the CRM to own: enquiries, counselling notes, follow-up, demonstration bookings and enrolment status. Keep learning content, attendance, examinations, certificates and accounting in a separate requirements list. Verify integrations if those systems must exchange information.

A CRM demonstration that ends at “lead won” does not prove that a learner record, invoice or course access will be created correctly. Ask where the admissions workflow ends and who owns the handoff.

Build a shortlist around the team’s work

Consult Zoho’s WhatsApp documentation, the TeleCRM overview and SHVYA’s feature guide. Confirm the edition, setup and integrations required for your particular workflow.

Demonstrate one learner journey

Use a fictional adult learner interested in a weekend design course. They ask about fees, then reveal that they can only attend online. They book a demonstration, miss it and return a week later asking about the next batch.

  1. Check whether the correct course and delivery preference are saved.
  2. Ask a question whose answer is missing from the approved course information. Inspect the response and handoff.
  3. Transfer the enquiry to another counsellor and check the promised next action.
  4. Mark the demonstration as missed and inspect the rescheduling sequence.
  5. Confirm enrolment and check that promotional follow-up changes appropriately.

Do not let an automated reply invent placement outcomes, accreditation, discounts or admission eligibility. Approved course information needs an owner and a process for updating batch dates and fees.

Use stages that reveal the next action

A workable starting point is New enquiry, Course fit discussed, Counselling scheduled, Demo attended, Application pending and Enrolled. Adjust these to your process. A learner who requests fees should not automatically be treated as ready to enrol.

Read our course enquiry follow-up guide and demo no-show guide for conversation planning. Keep messages useful and respect the learner’s communication preferences.

Check implementation before comparing price

Ask who imports existing enquiries, defines ownership, maintains course knowledge and trains counsellors. SHVYA’s current plans distinguish DIY setup from guided implementation; Calendar is included from Done for You. Other requirements must be checked against the actual scope offered.

Book an admissions workflow discussion with your course list and a redacted enquiry journey. Request a demonstration from enquiry to enrolment handoff, including the cases where a counsellor must intervene.
