WhatsApp CRM Pricing in India: What Will Your Team Actually Pay?
The subscription is only one line of the budget. Build a usable estimate by separating team access, messaging, implementation and ongoing work.
One vendor quotes a monthly plan. Another quotes per user. A third highlights a low entry price but leaves messaging and setup for a later conversation. Comparing the three numbers tells you very little.
To understand WhatsApp CRM pricing in India, ask every provider to price the same operating scenario. Define the team, the workflow and the expected usage first. Then separate fixed costs from costs that grow as the business uses the system.
Start with six cost categories
| Cost category | Question to ask |
|---|---|
| Subscription | What is included, and is the displayed price monthly or tied to an annual commitment? |
| Users | How many named logins are included, and what does each additional role cost? |
| Messaging | Which platform charges and provider charges apply to our usage? |
| Implementation | Are onboarding, data import, integrations and workflow configuration included? |
| Additional usage | Are AI usage, storage or other allowances limited or metered? |
| Taxes and payment terms | Are applicable taxes included, and when is payment due? |
Mark an item as unknown if the quote does not explain it. An empty line is not evidence that a service is free.
Separate CRM charges from WhatsApp charges
A CRM subscription pays for the provider’s product and service. WhatsApp Business Platform usage is a separate pricing question, even when a vendor bundles it into the invoice.
Meta’s official pricing page describes delivered-message pricing that varies by recipient market and category, with exceptions. Check its current rate information and the provider’s billing terms before estimating usage. Do not assume that every message has one flat rate or that “unlimited users” means unlimited messaging.
Ask the provider to identify any markup, credit mechanism, minimum purchase or expiry condition. Also ask how failed sends, delivered messages and adjustments appear in the usage report. You need a bill that can be reconciled, not merely a headline rate.
Use a simple total-cost worksheet
Estimated monthly cost = subscription + additional user charges + estimated messaging + other metered usage + recurring services + applicable taxes.
Keep one-time implementation separate. If you spread it over a comparison period, label that calculation clearly so it is not mistaken for a monthly invoice item.
Here is an illustrative example using invented figures, not SHVYA pricing or Meta rates:
- Base subscription: ₹4,000 per month.
- Two extra users at ₹1,000 each: ₹2,000.
- Estimated messaging and other usage allowance: ₹1,500.
- Recurring support service: ₹500.
- Total recurring estimate before applicable taxes: ₹8,000.
- Separate one-time setup: ₹6,000.
Over six months, that example totals ₹54,000 before applicable taxes: six monthly estimates of ₹8,000 plus ₹6,000 setup. Actual usage could make the final bill higher or lower.
Build three usage scenarios
Prepare a quiet month, a normal month and a campaign month. Use your own expected contacts and message types. Keep the assumptions visible: number of employees, countries served, follow-up activity and any paid add-ons.
Do not estimate from your entire contact database unless you genuinely expect to message everyone appropriately. A database of 20,000 contacts is different from 500 active enquiries that need individual follow-up.
Check what happens when the business changes
Ask about adding or removing users, changing plans, exporting records and ending the subscription. Confirm whether integrations or onboarding work need to be paid for again if your process changes.
For SHVYA, compare the current pricing page with a written quote for your required users, channels and setup. This article intentionally avoids freezing a plan price that may change after publication.
Judge value against a concrete workflow
A useful CRM should reduce a problem you can describe: lost enquiries, unclear ownership, repeated manual entry or missed promises. Measure the current problem before purchase, then review the same process after rollout.
If you are unsure whether you need a CRM yet, start with the Business App versus CRM guide. If the main issue is team coordination, use the shared inbox checklist during the demonstration.
A fair comparison ends with a clear scope and a realistic budget. The cheapest headline price cannot provide either on its own.
