CRM for Multi-Branch Businesses: Managing Enquiries, Teams and Customer Ownership
A branch change should not erase the customer story or create two teams competing to contact the same person.
A CRM for multi-branch businesses must answer a question that a single-location team can often handle informally: which branch owns this enquiry now? Geography, customer preference, service availability and staff capacity may point in different directions.
Before choosing software, write down those decisions. This is a requirements guide, not a claim that every CRM or SHVYA configuration supports every routing model.
Distinguish customer identity from branch interest
A person may enquire about one location and later prefer another. Preserve the customer context while recording the changed requirement. Creating a disconnected contact for each branch can make the person repeat their story.
At the same time, shared visibility is not automatically appropriate for every team. Decide which records and fields each role needs to see.
Define the ownership rules
| Situation | Decision to agree |
|---|---|
| New enquiry names a branch | Who receives it and what happens if that team is unavailable? |
| No branch preference | Which information is needed before assignment? |
| Customer changes location | Who transfers ownership and confirms the handoff? |
| Two branches receive the same enquiry | How is duplicate work identified and resolved? |
Carry commitments with the handoff
In an illustrative training business, a learner asks about a weekend batch at another centre. The receiving counsellor needs the course, preferred format, open question and promised callback. A new owner without this context is only a partial transfer.
Check what happens to existing reminders and sequences. Do not assume that reassignment automatically cancels or updates every scheduled action.
Test access as real roles
Use fictional records and representative user roles to verify visibility and editing rights. Test ordinary work and the exception: a temporary cover, a branch transfer and a manager review.
If your design requires separate organisations, pipelines or channel connections, ask the implementation team to explain the consequences. Do not assume data or messaging routes can cross those boundaries.
Compare performance with context
Branches may have different lead sources, capacity and sales cycles. Report response coverage and progression with those differences visible. A larger number of enquiries is not automatically better branch performance.
Read our source-tracking guide and duplicate-handling guide before deciding reporting and record rules.
Confirm SHVYA’s fit before rollout
Review SHVYA’s CRM and Teams offering, then verify the required access, assignment and channel behavior against your implementation scope. Advanced routing should be demonstrated rather than inferred from feature names.
Discuss your branch structure with a simple ownership map and three common transfer scenarios.
