IndiaMART CRM Integration: From New Enquiry to WhatsApp Follow-Up
Receiving an enquiry is only the first step. Keep the buyer’s requirement, assign responsibility and prove that real enquiries reach the right place.
An IndiaMART enquiry arrives while your team is busy with dispatch. Someone calls the buyer, someone else sends a catalogue, and the requirement ends up in a personal notebook. By the next morning, nobody is sure who should follow up.
IndiaMART CRM integration should solve that operational problem. Moving a phone number into software is useful, but the real goal is a complete enquiry with an owner, a next action and enough context to continue the conversation.
Decide what a new enquiry should become
Before connecting anything, define the destination. Which sales pipeline receives IndiaMART enquiries? What is the starting stage? Who checks new enquiries when the usual salesperson is unavailable?
Keep the buyer’s requirement alongside the contact. A name and number alone will not tell a salesperson whether the buyer wants ten standard units or a custom specification for a larger order.
- Contact details and company name, when supplied.
- Product, subject and original enquiry message.
- Quantity, location and timing when available.
- Source and enquiry identifier for reconciliation.
- Responsible salesperson and next action.
A missing quantity should remain unknown until someone asks. Do not convert an empty field into a guessed purchase intention.
Understand the connection being offered
Ask whether the integration receives new enquiries through a push connection or fetches them on a schedule. Those are different operating models. A scheduled import should not be described as instant delivery.
SHVYA’s IndiaMART integration uses a push receiver. The account setup must still be completed and tested for the seller involved. Availability and activation depend on that seller’s IndiaMART account; do not assume every subscription has the same access.
How the SHVYA setup is organized
- Request setup. An organization administrator opens Connect Hub, selects IndiaMART and requests IndiaMART setup.
- Confirm routing. SHVYA’s setup team selects the destination pipeline and an active stage, then prepares the private receiver URL.
- Complete the seller-side connection. The authorized seller completes the required IndiaMART configuration and verification with the setup team.
- Send a permitted test enquiry. Check the resulting record in SHVYA and compare it with the source enquiry.
- Validate the first live enquiry. Confirm the operational process, including who responds and how the outcome is recorded.
A setup request is not proof of activation. Neither is a generated URL. Keep the private receiver URL out of public documents and screenshots.
Test the details that prevent quiet failures
Use a short acceptance checklist before declaring the connection ready. These are checks to run on your account, not a claim that your seller connection has already passed.
| Check | What a useful result looks like |
|---|---|
| New enquiry | The right contact and requirement appear in the intended pipeline. |
| Repeated delivery | The same enquiry does not create a second opportunity by accident. |
| Existing buyer | A new requirement remains visible without erasing earlier context. |
| Missing details | The team can identify what needs clarification. |
| Responsibility | Someone knows they must review the new enquiry. |
| First live record | Source and CRM details agree, including the enquiry time. |
Make the first conversation relevant
An enquiry does not justify an unrelated marketing broadcast. Confirm the permitted communication channel and applicable messaging requirements before automating outreach.
When WhatsApp contact is appropriate, acknowledge the actual product and ask for the next missing detail:
Thanks for your enquiry about the stainless-steel fittings. What quantity and delivery location should we use when checking availability?
Do not ask for the quantity again if the buyer already supplied it. For specification-heavy products, use the manufacturing qualification checklist before issuing a price.
Keep enquiries and follow-up connected
Review a small sample of source enquiries against CRM records each day during rollout. Investigate gaps before increasing automation. Include rejected or incomplete records in the review; a healthy-looking total can hide a missing high-value enquiry.
Once quotations go out, move to a different conversation. Our quotation follow-up examples focus on the buyer’s decision rather than repeating the welcome message.
The connection is doing its job when a salesperson can open the record, understand the requirement and take the right next step without reconstructing yesterday’s conversation.
