How to Connect Facebook Lead Ads to Your CRM—and Check Every Lead Arrives
A successful connection screen is not enough. Verify the form, the fields and the destination—and keep a way to spot missing leads after launch.
A Facebook lead form collects an enquiry. Your campaign report counts it. Your salesperson never sees it.
This is why Facebook Lead Ads CRM integration needs a verification process as well as a connection. The important result is a usable record in the right place, with enough context for someone to respond.
The steps below are a practical acceptance checklist. Exact menu labels and permissions depend on Meta’s current interface and the CRM connection you use.
List the assets before you connect
Write down the business, Facebook Page and lead forms included in the launch. Use names and identifiers that the authorized administrator can recognize. If the business has several Pages or forms with similar names, “the Facebook form” is not a clear enough instruction.
Confirm who can manage the connection and who will monitor it. Access can change when staff leave, business settings change or an authorization needs attention. Someone must own that maintenance task.
Agree on what happens to each form submission
Map the fields before sending test leads. A product-interest answer is useful only if it reaches a field or note that the salesperson can actually read.
| Source detail | CRM destination to agree |
|---|---|
| Name and contact details | Contact fields with appropriate validation. |
| Product or service question | A visible requirement field or enquiry note. |
| Page and form | Source information for reconciliation. |
| Campaign context, when available | Attribution fields without inventing missing values. |
| Submission identifier and time | A reference for tracing and duplicate checks. |
| Contact permission | A record of what the person agreed to. |
Do not assume a phone number submitted on a form automatically permits every kind of WhatsApp message. The form wording, purpose and applicable channel requirements need to match the follow-up you plan.
Complete the authorized connection
Use the CRM’s supported integration flow and the correct business account. Review which Page and forms are selected. A successful authorization can still leave the wrong form connected.
For a SHVYA rollout, agree the destination pipeline, starting stage and responsibility with the setup team. Ask for an end-to-end demonstration using the form you intend to advertise. Avoid accepting a demonstration on an unrelated test form as proof that your production form is ready.
Run a traceable test
- Create a permitted test submission using distinctive, non-sensitive test details.
- Record the form, submission time and available reference.
- Find the resulting CRM record and compare every important field.
- Check its pipeline, stage and owner or review queue.
- Confirm that any intended next action is appropriate and that no unintended message was sent.
- Repeat for each materially different form and routing rule.
Also check the first genuine enquiry after launch. A test proves one path at one moment; it does not prove every later submission will arrive.
When a lead is missing, trace the boundary
First confirm that the enquiry exists in the source system. Then check whether the connector received it, whether processing failed and whether the record landed somewhere unexpected.
If one field is missing, inspect mapping and validation. If one form fails while another works, compare their selection and routing. If all new leads stop, review connection health and recent access changes. Ask the integration owner to inspect technical logs where needed; repeatedly reconnecting can obscure the original cause.
Provider guidance such as Privyr’s Facebook integration documentation can help explain its own connector, but should not be treated as a guarantee about a different CRM.
Reconcile after launch
Compare source submissions with CRM intake over the same time range and timezone. Investigate missing identifiers, unexpected duplicates and records rejected for incomplete data. Raw totals alone can mislead: one duplicate and one missing lead can cancel each other out numerically.
Keep a simple exception list with the reference, issue, owner and resolution. Review it more closely during launch and after form or permission changes.
Finally, separate delivery from sales performance. If the lead arrived correctly but the conversation stalled, use the lead-quality diagnostic and team ownership guide. A working integration should make the next sales action easier to see, not merely add another contact to a database.
