How to Build an AI Sales Playbook Around Your Products and Customers

A useful playbook explains what the business knows, what the assistant should ask and where its authority ends.

An AI sales playbook turns business knowledge into instructions for a customer conversation. It should explain more than the company description. The assistant needs to know which facts are approved, which details matter and what requires a person.

Writing a longer prompt is not always the answer. Clear ownership and consistent source material matter just as much.

Build the knowledge foundation

List products or services, relevant specifications, price conditions, service areas and exclusions. Assign an owner to each information source. Remove superseded documents or clearly distinguish their status so old offers do not compete with current ones.

For questions requiring live confirmation, write that limitation explicitly. A static brochure should not be treated as proof of current stock or an available appointment.

Use a practical playbook structure

SectionWhat to define
Business contextWho you serve and which requirements you can handle.
Approved answersFacts, conditions and sources.
QualificationNecessary questions, accepted answers and completion criteria.
Conversation styleLanguage, tone and how to handle interruptions.
Human decisionsNegotiation, exceptions and unresolved questions.
Operational outcomesWhat the configured system must actually record or do.

Write rules around customer behavior

Instead of “always ask all five questions,” define how to use answers already provided. If the customer gives location and budget together, the assistant should not ask for both again. If they correct the location, the later answer should guide the next step.

Our qualification guide helps choose useful questions. Include examples, but do not make them the only accepted wording.

Separate instructions from execution

A playbook can describe a callback, but the system needs a supported, configured way to create and assign it. Avoid telling the assistant to promise actions that exist only in prose.

For a fictional equipment enquiry, the desired outcome may be a complete requirement and a technical review. Define the review owner and how the team will see it, not merely the sentence the customer receives.

Test and maintain the playbook

Use known questions, unknown questions, corrections and requests for a person. Check both the answer and saved record. Keep the test cases so updates can be checked consistently. See our accuracy testing guide.

Assign a review process when products, prices or policies change. A playbook without a maintenance owner gradually becomes a source of outdated answers.

Prepare a SHVYA demonstration

SHVYA’s AI Playbooks support business context and conversation configuration, with implementation varying by plan. Discuss your AI sales playbook with current product material and examples of questions your team regularly receives.
