Sales and Marketing Alignment: How to Agree on What Makes a Qualified Lead
Replace the argument about lead quality with shared definitions and a review of what happened to each enquiry.
Marketing reports a successful campaign. Sales says the leads are poor. Both may be looking at different definitions of success. A form submission shows interest, but it does not necessarily show fit, readiness or a request for a sales conversation.
Sales and marketing alignment begins by making those distinctions explicit and checking what happens after the handoff.
Define qualification for a real next step
Choose the action the team is qualifying for: counselling, a site visit, a technical call or a quotation. Then list the minimum information needed to make that action useful.
A manufacturer may need product specifications and quantity. An institute may need course interest and preferred delivery format. Avoid forcing every business into a long questionnaire copied from an unrelated sales process.
Create a shared agreement
| Decision | What to write down |
|---|---|
| Fit | Requirements the business can reasonably serve. |
| Readiness | The signals needed for the proposed next step. |
| Handoff | The record, owner and response expectation. |
| Return to nurturing | Why the person is not ready and what should happen next. |
| Disqualification | A specific reason rather than an unexplained rejection. |
Distinguish poor fit from poor handling
A lead outside your service area may be a targeting problem. A suitable buyer left uncontacted is a handling problem. An unreachable contact may require further investigation rather than an immediate conclusion about the entire campaign.
Review a balanced sample with both teams. Include the original ad or listing, the enquiry, contact attempts and the recorded outcome. The conversation often reveals more than a single status field.
Close the feedback loop
Agree which reasons marketing needs to see and how often the definitions will be reviewed. If many prospects misunderstand the offer, adjust the message or qualification. If sales regularly needs a missing detail, decide where it should be collected without adding unnecessary friction.
Our qualification question guide helps sequence those questions. The source-tracking guide helps compare outcomes without losing the original channel.
Measure accepted and progressed enquiries
Track accepted handoffs, contact coverage, qualified next steps and eventual outcomes separately. Define denominators and time periods so both teams read the same numbers. Do not compare a mature campaign’s closed sales with a campaign launched yesterday.
Keep the agreement small enough to use. A definition that only exists in a presentation will not resolve daily disagreements.
Make the agreement operational
SHVYA’s CRM, AI Playbooks and Workflows can support configured qualification and follow-up processes. Confirm the exact rules, reporting and implementation scope before launch.
Book a qualification workflow discussion with one campaign and the next sales action it should produce.
