Sales Automation for Manufacturers and Distributors: From RFQ to Purchase Order
Connect the enquiry, technical review and latest quotation so the sales team follows up on the right requirement.
Manufacturing sales automation should reduce the administrative distance between an enquiry and a usable commercial decision. An RFQ may arrive with a drawing, a short message or an incomplete list of specifications. The first task is to understand what can actually be quoted.
For distributors, the challenge may be product selection and delivery requirements. For custom manufacturers, technical review may be essential before a price is possible.
Build an RFQ brief
Record the product or drawing reference, quantity, material or specification where relevant, intended application, delivery location and requested timing. Preserve uncertainty. If a tolerance or revision is missing, flag it for confirmation rather than guessing.
Our manufacturing qualification guide focuses on preparing this brief.
Separate technical and commercial responsibility
| Work | Required outcome |
|---|---|
| RFQ review | Known requirements and missing information. |
| Technical assessment | An authorised response on feasibility and specifications. |
| Quotation | Current scope, conditions and version. |
| Negotiation | Approved changes and open commercial questions. |
| Purchase-order review | Confirmation that the order matches the accepted offer. |
Do not let a CRM stage replace the technical or commercial approval itself.
Keep quotation versions visible
In a fictional component enquiry, the buyer changes the material and quantity after the first quote. The revised offer needs its own clear reference. The salesperson should know which version is current and whether the customer has acknowledged it.
A follow-up referring to the old price can create confusion even when the latest document is correct. Our quotation follow-up guide helps make the conversation specific.
Automate reminders around real dependencies
If engineering owes an answer, the next action belongs with that review. If the buyer owes a drawing, the follow-up should request that item. Avoid treating every waiting opportunity as a customer who needs another sales reminder.
Record the owner and due point for each dependency. Use automation for approved routine steps while keeping feasibility, stock, delivery and concessions with the responsible people or verified systems.
Define the order handoff
A purchase order may contain terms or specifications that differ from the quotation. Establish who checks it and how discrepancies are resolved before production or fulfilment proceeds.
This sales workflow does not replace inventory, production planning or accounting. Those integrations require explicit scope and testing.
Plan a SHVYA workflow
SHVYA’s CRM, Cadence and Sales documents are relevant to organising the journey. SHVYA Sales is an Enterprise capability in the current plan comparison.
