After-Hours WhatsApp Enquiries: What to Automate Before Your Team Returns

An overnight reply is useful when it sets expectations and saves the morning team a step. It should not pretend someone is available.

At 10:40 pm, a customer asks whether your showroom can deliver a dining table before the weekend. Your team has gone home. An instant “How can I help?” followed by silence is not much help. Neither is an automated promise that someone will call in five minutes.

A good after-hours WhatsApp auto reply acknowledges the enquiry, explains when a person will respond and collects only the context that will make that response useful.

Start with a real service promise

Write down the hours your team actually covers, including weekends and holidays. If Saturday messages are answered on Monday, say so. Use the timezone when customers may be elsewhere. A precise promise that you can keep is more useful than “We will get back shortly.”

Thanks for messaging [business]. Our sales team is offline now and returns at [time, day, timezone]. If you share the product and delivery area, we can check the options when we reopen.

Replace every placeholder before using the message. Do not automatically promise delivery availability, a price or an appointment unless the system can verify it.

Choose what the overnight flow should do

EnquiryUseful overnight action
Product availabilityIdentify the exact product; explain that stock will be checked.
Service quoteCapture service type and area, then leave detailed estimating to the team.
Existing order questionAsk for a safe order reference and route it to the correct queue.
Request for a personGive the actual contact route or next staffed response time.

Do not send the same opening question after the customer has already answered it. If the message says “two-bedroom flat in Pune,” save that context and ask only what remains necessary.

Keep qualification short

Overnight visitors may be browsing on a phone between other tasks. One useful question is often enough to move the enquiry forward. A long form disguised as a chat can make the exchange feel more difficult than waiting for office hours.

For a hotel, dates and guest count may be enough to begin an availability check. For a workshop, the product and quantity may matter first. Read our hotel enquiry guide for a hospitality example.

Design the morning queue before enabling automation

The overnight conversation needs a destination. Create a review routine that shows the original question, captured details, promises made, owner and next action. Give urgent unresolved requests a clear review rule without claiming that automation can judge every emergency.

One person should check unassigned conversations at opening time. If a salesperson takes over, the system should not keep asking qualification questions in parallel. Test that transition with a fictional enquiry before relying on it.

Test the edge cases

  • A message arrives just before closing and another arrives just after.
  • The customer asks for a person immediately.
  • The customer supplies all requested details in the first message.
  • A holiday changes the expected callback day.
  • The conversation resumes after the normal messaging window.

For WhatsApp Platform messaging, follow the applicable window and template rules; our 24-hour follow-up guide explains the distinction. Review Meta’s current policy when configuring the flow.

Measure whether mornings get easier

Compare overnight enquiries with those actually reviewed, contacted and progressed after opening. Read conversations where the buyer repeated information or received a broken promise. An automated response count alone cannot tell you whether the workflow helped.

Plan an after-hours workflow with SHVYA. Bring your opening hours and three common evening questions. The goal is an honest overnight response and a clear morning action for your team.
